Common questions

There are three independent methods: manual (always available as the default), QR/barcode scan (optional), and location-based check-in (optional, free activities only).

E-tickets are automatically enabled for every new activity and can be turned off in the initial settings.

Manage participant check-in through three configurable methods—manual, QR/barcode, and location. E-Ticket is enabled automatically for every new activity, but generating a unique code per participant is not yet available. Set the check-in window (starting 2 hours before the activity until the activity ends) and track participant attendance in real time.

  • The e-ticket feature is enabled automatically when you create a new activity and can be turned off in the initial settings.
  • You can configure three independent check-in methods: manual (always available by default), QR/barcode scan (optional), and location-based check-in (optional, for free activities only).
  • Check-in can only happen while the check-in window is open: starting 2 hours before the activity start time until the activity ends.
  • For manual check-in, you can enter the participant ID or the seat code (7 characters) if the activity uses seat selection.
  • Check-in only succeeds if the participant is already confirmed (status 'Going' or their seat is active) and has not checked in before.
  • You can view the full participant list along with each one's check-in status, name, and registration number on the manage participants page.

Important notes

The check-in window opens 2 hours before the activity start time and closes after the activity ends. This gives flexibility to participants who arrive early.

For activities with seat selection, the 7-character seat code is used for unique identification. For activities without seats, check-in is based on the participant ID.

If the activity has not started yet (it has not entered the 2-hour-before window), the check-in option will not yet appear for participants.

Mutually exclusive: 'Request to Join (Approval)' and 'Waitlist' cannot be enabled at the same time on the same activity—the system will reject it if you try to enable both.

The Seat Map lets participants choose their seat when registering for a paid activity. Hosts can turn this feature on by uploading a seat map image, setting a seat number prefix, and defining how many seats are available. The feature works independently and won't appear to participants on the waitlist or to participants who need host approval first.

  • To enable seat selection, upload a seat map image when creating or editing the activity. As long as the map image is saved, the feature turns on automatically and participants will be able to choose a seat when they register.
  • Set a seat number prefix (for example "A" or "Balcony") when creating the activity. This prefix is shown in front of the seat number when participants select a seat and when viewing history. Example: the prefix "A" produces "A1", "A2", and so on.
  • The number of seats follows the activity capacity: you can offer seats equal to the capacity minus one (for the host). If a participant picks a seat number beyond the available count, the booking will be rejected.
  • The Seat Map feature is only available for paid activities. Free activities can't use this feature, even if a map image has already been uploaded.
  • If your activity is part of a recurring schedule, the seat map is not automatically copied between dates. Each activity in a recurring schedule has its own seat configuration and must be set up separately.
  • The Seat Map feature can be used together with the host approval feature. Participants who need approval will still see the seat selection page when they register, but their seat won't be confirmed until the host approves their registration.

Important notes

Relationship with the Waitlist: if the activity allows a waitlist, participants on the waitlist don't go through the seat selection page. Seat selection is only for participants who have confirmed they're joining.

Relationship with Host Approval: if the activity requires host approval, participants WILL see the seat selection page when registering. However, their seat stays in a pending-approval status until the host approves the registration. If the host rejects the registration, the seat is automatically released.

Activity Cancellation: if the activity is cancelled, all participant seats are released. Refunds follow the payment rules and are not governed by this seat feature.

Spot Transfer: if you transfer your spot to someone else, the seat record (including the name and order link) needs to be updated manually. The system does not change the seat automatically.

On-Site Registration: the seat feature also supports registering directly at the activity location. When booking, the participant enters their email or identity, and a new account is automatically created if they're not yet registered.
