Tickets, Check-in & Schedule

E-Tickets, check-in, seat selection, reschedule, and sending spots.

Common questions

On the activity detail page you can see your own check-in status, name, and registration number. For group registrations, you can see the status of everyone in your group. Your QR e-ticket is shown on that same page and is in the PDF attached to the Participation Confirmed invoice email; it is not sent as a separate email. In the app, e-tickets for upcoming activities still open without internet through Settings → Offline data.

There's nothing for you to press: check-in is done by the host or their staff. When you arrive, show the QR on your e-ticket to be scanned, or give the 7-character E-Ticket Code under that QR; the host can also tick your name straight from the participant list.

If you registered several people, each person has their own QR and code, and one scan records one person.

For activities with a seat map, you pick a seat number for each person you register when you sign up. Seats already booked by others appear locked, and the seats you pick are held for a few minutes while you finish registering.

A seat cannot be booked twice. If your chosen seat has already been taken, the system lets you know so you can pick another one.

The "Reschedule" option appears in the ⋯ menu if you're confirmed and not yet checked in, the activity is paid and hasn't started, and the host enabled it. It's available up to the cut-off the host set, for example 24 hours before the activity; once that has passed, the request is refused. On the web, Reschedule is also a calendar icon next to the main button. In app versions before the newest update, the option disappears 2 hours before the start even if the host's cut-off hasn't passed.

Once it succeeds, your whole booking leaves the original activity and you receive a Reschedule Pass, one per seat, worth what you paid per seat. It's used on another activity by the same host with matching tags, and is valid for 30 days unless the host set otherwise. A booking paid with a Reschedule Pass or an unlimited pass can't be rescheduled.

If your status is "Joined", you can send your spot to someone else via Chat before the activity starts, unless the host has turned this off. In the app, sending closes 2 hours before the start. The recipient sees the spot message and can Accept or Reject.

If accepted, the recipient fills in the registration form and joins right away; your whole booking, add-ons included, moves to them, and you leave the activity and its chat. A spot can no longer be processed once the activity has started.

A spot can be accepted by one person only. If the sender offers it to several people, the first to accept gets it; the others see that the spot is no longer available, and the Accept button in their chat disappears. The same happens if the sender has already left the activity.

No. You're free to join one specific activity without having to attend the others in the same schedule. If the host edits the activity, its time, location or the recurring pattern included, participants still registered (going or checked in) get a notification that the host edited it, both as a phone notification and in the app's notification list. What isn't sent is an email; notification emails only go out when an activity is cancelled.

Yes, with the newest KUYY app update; the web doesn't have this yet. Go to Settings, My Activities, Sync to calendar, and pick As participant (activities you join), As host (activities you host), Both, or Off. It starts Off, and after you join an activity for the first time the app offers to turn it on. The app asks for access to your phone's calendar.

Activities go into a calendar of their own named KUYY! · @username, one calendar per account, for activities starting in the next 60 days. Ones still awaiting payment get a [Pending] prefix, and waitlist spots are left out. If the host changes the time, the calendar entry moves; if the activity is cancelled or you're no longer registered (you left, were removed, or rescheduled), the entry is deleted. Changes land when you open the app, not while it's closed.

Choosing Off or logging out removes that calendar from the phone. Teaching assignments as staff or an instructor are not included. Add to Calendar on the activity page only copies a single activity once, and that copy doesn't change; while the activity is already synced, it reads In your calendar instead.

Full guide

Detailed rules for each related feature, plus important notes.

Once your registration is confirmed, you get an e-ticket with a QR code for each person you registered. When you arrive, show the QR to the host or staff to be scanned.

  • •Your e-ticket is available once your payment succeeds (or right after you join a free activity), and it's also sent to your email.
  • •Open it with Show E-Ticket in the activity page menu. Every person in your registration has their own QR and ticket code.
  • •Check-in is done by the host or staff: they scan your QR or tick you off in the participant list. You can't check yourself in.
  • •If the host's camera can't read the QR, show the text code under your ticket.
  • •In the app, tickets for upcoming activities are stored on your device so you can open them without a connection (Settings, Offline data), and iPhone users can also open them on Apple Watch.
  • •After check-in, your status changes to checked in.

Important notes

• There is no self check-in; ask the host or their staff to scan your ticket when you arrive.

• An e-ticket can't be used twice; a ticket that has already been scanned is rejected when scanned again.

When you register for an activity with a seat map, you pick a seat number for each person you register. Seats already taken by others appear locked.

  • •The seat selection page appears when you register, including on activities that use host approval. If you join the waitlist, this page is skipped.
  • •Pick one seat number for each person you register. Seats already booked by others are locked; if your pick is taken in the meantime, you're asked to choose another seat.
  • •The seats you pick are only held for a few minutes. Continue your registration and payment promptly so they aren't released.
  • •Once your payment succeeds (or once you join a free activity), your seats are confirmed and their numbers appear on the activity page.
  • •Seat selection is always manual; seats are only assigned automatically to participants called up from the waitlist.
  • •If you send your spot to someone else and they accept it, your seats move to them.

Important notes

• If the activity is cancelled, all seats are released; the refund follows the host's choice, not the seat feature.

• Walk-in registration by the host also uses seat selection.

If the host allows it, you can reschedule a paid registration before the cut-off. You leave that activity and receive a Reschedule Pass to use on another activity from the same host, within the validity the host sets (30 days by default).

  • •The Reschedule option is in the activity page menu when you're confirmed, the activity is paid and still scheduled, and the host allows it.
  • •You can only reschedule before the host's cut-off. After it has passed, you'll see a message that the reschedule cut-off has passed. In app versions before the newest update, the option already disappears 2 hours before the start even if the host's cut-off hasn't passed.
  • •Rescheduling moves your whole registration: you leave the activity and receive one Reschedule Pass for each person you registered. In the app, you're taken straight to the host's activity list to pick a new one.
  • •Each pass is worth what you paid per person, excluding the admin fee, plus the value of any pass or voucher from the host that you used. A discount from a KUYY promo isn't refunded.
  • •The pass only works on activities from the same host whose tags match the original activity, and it doesn't discount add-ons.
  • •If the new activity costs more, you pay the difference. If it costs less, the remaining value isn't refunded, because the pass can only be used once, unless you register several people at once: the rest then comes off the other seats in that order.
  • •One registration can use only one pass or voucher. A pass is spent against the flash sale price; only a voucher code turns the flash sale price off.
  • •A registration paid with a Reschedule Pass or an unlimited pass can't be rescheduled again.
  • •Rescheduling on your own doesn't send an email; your Reschedule Pass shows up in My Pass right away.

Important notes

• Rescheduling doesn't return cash; your payment becomes a Reschedule Pass.

• You also receive a Reschedule Pass when an activity is automatically cancelled, or when the host cancels the activity or removes you with a pass as the refund.

Registered participants can send their spot to someone else through chat. The recipient sees a special message and can accept or decline it. If they accept, your whole registration moves to them and you leave the activity. A spot can only be processed before the activity starts.

  • •Only participants with a Going status can send a spot, using Send Activity Spot in the activity page menu. If your payment is still pending or you haven't been approved yet, you can't send it.
  • •You can send a spot until the activity starts; in the app, the cut-off is 2 hours before the start.
  • •You can't send a spot to someone who has blocked you or whom you have blocked, and you can't send one while your add-friends request is still open.
  • •Search for the recipient by name or username. A chat with them is created automatically if there isn't one, and the spot message includes the activity details, the number of participants, and the add-ons.
  • •The recipient taps Accept or Decline. If the activity has a form, the recipient fills it in when accepting; for a spot covering several people, each friend's details are filled in separately.
  • •A spot can't be accepted if the recipient is already registered for that activity, the spot was already accepted or declined, the activity has started, or the sender has left the activity.
  • •Once accepted, the recipient is Going right away, the payment history and seats move with the spot, and they're added to the activity group chat. The sender leaves the activity and its group chat.

Important notes

• Send Activity Spot (from a participant) is different from Send Activity Pass (from the host): a spot moves an existing registration, while an activity pass invites someone to join for free.

• When a spot is accepted, its transaction moves to the recipient; the sender keeps a record of it in their transaction history.

• The sender gets a chat message when their spot is accepted or declined.

Recurring activities appear on Home with their days, and each session is its own activity. You're free to join one session without joining the others. If the host changes a session you joined, you get a notification.

  • •Recurring activities are shown with their days, for example "Monday, Wednesday, Friday" or "Every Day".
  • •On the activity detail page, you can see the next sessions to plan when to join.
  • •You register per session, without having to join other sessions from the same schedule.
  • •If the host changes only one session, the change applies to that session only.
  • •If the host changes the whole schedule, existing sessions are updated too, but their dates and times still follow the original schedule.
  • •Every time the host edits a session you joined, whatever the change, you get a push notification and an entry in your in-app notification list. A change to the whole schedule sends a notification for each session it changes.
  • •If the host stops the recurring schedule, no new sessions are created, but existing sessions go ahead as usual.

Important notes

• You don't need to set up the schedule in any technical format; just choose days and times.

• Request to Join and the Waitlist apply per session like any activity, and they can't be on at the same time.

Participants can choose one or more add-ons when registering for an activity. Add-ons are shown as optional items with a name, description, and price. The add-on price is automatically multiplied by the number of participants registered. After payment, the add-ons you bought appear in the transaction details. If you send your spot to someone else, the add-ons you chose move with it.

  • •Add-ons appear on the registration page under the heading "Add-on" with the label "Optional", so you are free to choose or skip them.
  • •You can choose one or more add-ons at once because the options are not mutually exclusive.
  • •The add-on price is automatically multiplied by the number of participants you register.
  • •You can tap an add-on image to see a larger view of it.
  • •After payment is complete, you can see the add-ons you purchased in the transaction details, complete with the name, description, and image.
  • •If you send your spot to a friend, the add-ons you selected move with that spot.

Important notes

• Relationship with Payment: add-ons are separate items in the payment. A percentage-based admin fee is calculated from the total including add-ons.

• Relationship with Pass/Voucher: you can still choose add-ons while using a pass or voucher, but the pass discount doesn't apply to add-ons.

• Relationship with the Group Discount: Group Discount cashback only counts the ticket price, not add-ons.

• Revenue Tracking: for hosts, add-on income is recorded separately from the ticket price in sales reports.
